Background of Implementation

――HS: What kind of challenges did you face in terms of translation before introducing MTrans Team?

――Exedy: Our company has many locations both domestically and internationally, and there was a very large volume of meetings, documents, and email exchanges. Amid this, the management at the time issued a policy of "language barrier-free," and we began initiatives to eliminate language barriers in areas such as voice translation, document translation, and email translation.
Regarding document exchanges, to be honest, we could not continue the task of copying and pasting Excel files and PDFs into Google Translate for translation, so we were looking for a tool that could translate entire files at once. While we had a separate system in place for email translation, we needed to find a tool that could handle file translation separately.

Reasons for Choosing MTrans Team

The deciding factor was that both PDF and Office files can be translated as-is

――HS: Please tell us about the process of choosing MTrans Team from among multiple options.

――Exedy: At that time, when focusing specifically on the use case of file translation, I believe there were no other options. We learned that not only Office files like Word and Excel but also PDFs could be translated, so we decided to implement it.

Implementation Effects

1. File translation while maintaining layout
2. Intuitive operation that permeates the entire company
3. Multilingual support including image PDFs

――HS: How was the usability after actually implementing it?

――Exedy: The fact that we could translate files as they were was definitely a strong point. Nowadays, even generative AI can handle translation and summarization, but there is inevitably the problem that it skips over areas containing shapes or tables.

――HS: What kind of response and effects have you seen within the company?

――Exedy: The UI was not very difficult, and the fact that you could translate just by dragging and dropping files was great. We hardly heard any complaints from users within the company about difficulties in operation. There were only a few questions from some users regarding operations like registering phrases, but other than that, there was nothing particularly troublesome.
The aspect most highly praised by users was that the layout does not break. When sending manuals or presentation materials to overseas bases, it was very convenient that the layout was preserved even after translation, and the number of users increased steadily.

Also, from a certain point onward, it became possible to translate image PDFs, which was met with great enthusiasm. The frequency of use increased because it made it easy to convert documents sent directly from overseas into Japanese in their original form, making them readable even for general users.
Regarding the departments using it, the equipment department translates manuals for equipment purchased from overseas, and the technical department uses it for translating technical documents, so it is being utilized broadly and evenly.
Departments supporting overseas operations also receive emails and attachments from local sites frequently, so they use it almost every day.
In terms of languages, there is a lot of communication in English, Japanese, and Chinese, but on-site, it is also used to convert Japanese into Spanish, Indonesian, Tagalog, Thai, and other languages for posting to foreign staff working at the factory.

Evaluation of Human Science Co., Ltd.

Continuous updates provide peace of mind for ongoing use and support for generative AI engines

――HS: How do you evaluate Human Science and the MTrans Team after using them for many years?

――Exedy: What we appreciate is the continuous updates. Tools and add-ins developed independently tend to stop evolving at a certain point, but the MTrans Team keeps adding new features and continuously adapts to the latest situations. In that sense, we feel confident in continuing to use it. I believe this is one of the benefits of adopting it.
One request from users is to relax the character limit for translations. When translating very large files, such as patent-related documents, there are cases where we have no choice but to split the files for processing. Similar requests have been made regarding large files like equipment manuals. We look forward to future improvements in this area.

Future Outlook

Advancing Toward "Language Barrier-Free" by Leveraging the Strengths of Each Tool

――HS: Lastly, how do you envision the future use of the MTrans Team?

――Exedy:<br>Regarding the goal of "language barrier-free," we feel that the necessary level has been met. However, there are still areas where support has not caught up, such as simultaneous interpretation in meetings, and we believe the standards required for translation will continue to rise without limit.
Going forward, we think it will be necessary to utilize the strengths of each tool appropriately. There are areas where generative AI excels, and there are areas where MTrans Team is strong, such as translating files as they are. We expect MTrans Team to continue updating and to keep responding to the latest situations.
